Managing learners
Once students join your institution, the Learners area is where you keep track of them, understand your numbers, assign courses, and issue documents like offer letters.

The learners overview #
The main learners view shows everyone connected to your institution, organised by department, with quick access to each learner's details and assigned courses. An analytics view is shown by default so you see the big picture first.
Learner analytics #
The analytics view summarises your learner base at a glance:
- Total number of learners, and how many are active versus inactive
- Learners with a course assigned versus those without any course
- A breakdown by department
- The average number of courses per learner
The "learners without a course" number is a useful follow-up list — these are students who registered but haven't been enrolled in anything yet.
Departments #
Departments help you organise both learners and staff (for example, by stream or campus). You can create a department from the learners or staff area and assign people to it.
Editing a learner #
Opening a learner shows their key details at the top, along with options to:
- Change the department they belong to
- Update the branch they're attached to
- Mark them active or inactive
Students are added through self-registration rather than being typed in manually, which keeps their details accurate and their email verified.
Enrolling learners into courses #
From a learner's record you can see the courses they're already enrolled in and the courses available to them. Available courses are shown as easy-to-read cards, and for live courses you'll see the relevant batch and dates. Partner institutions can enrol learners into courses sponsored by coursematter.
Offer letters #
For program enrolments, you can generate a printable offer letter (PDF) for a learner once they're enrolled and the batch has started. You can preview it on screen or download it to share with the student.
