Setting up your institution
Your institution profile is the public face of your academy on coursematter. A complete, polished profile builds trust with students and unlocks features like branches, partnerships, and self-registration.
Everything here is managed by the master account — the main institution account — from Account › Settings.
Your institution profile #
In the Institute tab of your settings you can set:
- Name — your institution or academy's name.
- Tagline — a short one-line description (optional).
- Logo — your brand mark, shown across your profile and emails.
- About — a rich description of your institute, with formatting like headings, bold text, and lists.
- Website and contact details — your phone number and address.
- Public handle — a short, unique name used in your public web address (for example, your-academy).
- Gallery images — photos that showcase your campus or classes.
Set a public handle early. It gives you a clean, shareable address and is used in your public page and student registration links. Without one, links fall back to your institution name, which may include spaces.
Your public page #
Every institution has a public web page at /institution/your-handle. It shows your branding, "about" description, head office, regional branches (as an accordion), and your courses. Anyone with the link can view it — share it on social media, your website, or in messages.
Staff members can open it any time from their dashboard using the View institute public page link.
Branches #
Branches let you represent multiple physical locations. You always have one head office (your main institution address) and can add as many regional branches as you need, each with its own name, address, and phone number.
Adding a branch
Go to the Branches tab in your institute settings and choose Add branch. Fill in the branch name, address, state, city, and phone number, then save. The head office is taken from your main profile and is edited from the Profile tab.
Activating and deactivating branches
Branches can't be deleted — instead you deactivate them. This keeps your records intact while hiding the branch where it shouldn't appear.
- A deactivated branch is hidden from student self-registration, your public page, and the partners listing.
- Learners already attached to that branch keep it — it still shows on their record.
- You can reactivate a branch at any time.
Partnerships #
Partner institutions can offer courses sponsored by coursematter to their own learners. Partnership has two tiers — National and Regional — which decide who can enrol students.
Requesting partnership
Open Account › Settings and use the Become a Partner toggle to submit your request. It's marked as under review, and an administrator approves it and assigns your tier. Once approved, your public page and the partners listing show a Partner badge, and sponsored courses become available to your learners.
You can only apply once both your institution profile and your personal (head person) profile are complete. If something's missing, the toggle is disabled with a note about what to finish. While a request is under review the toggle stays locked. Approval and tier assignment are handled by the coursematter team.
National and regional partners
| Tier | What it can do |
|---|---|
| National | Can enrol its own learners — and the learners of the regional partners under it — into sponsored courses. Holds admission authority for those regional partners. |
| Regional | Operates under one national partner. Can browse the available sponsored courses but does not enrol directly — enrolment is handled by its national partner. |
Enrolling students
Sponsored courses appear under each learner in Institution learners. For a national partner, every eligible learner shows an Enrol button.
- A national partner can act on behalf of its regional partners: use the filter beside the student search to pick a regional partner, see their students, and enrol them. The student's base institute stays the regional one.
- A regional partner sees the available courses in a read-only list (no Enrol button), alongside its national partner's contact details and head & branch addresses — so it's clear who handles admissions.
- Once a national partner enrols a regional partner's student, that student's enrolment details and invoice become visible to the regional partner too — exactly as the national partner sees them — and the per-learner course count includes these on-behalf enrolments.
Once approved, a National or Regional badge appears on your Institution learners page so your team can see your tier at a glance.
Resources & activities #
Your institution has full access to the Resources area — quizzes, coding exercises, assignments, polls, and embedded videos that you attach to your courses and programs. Open Resources from your menu.
Resources belong to the master account, so the master and its staff instructors share one library: build a quiz or exercise once and any of your courses can use it. For the full guide to each activity type, see Quizzes, code & resources.
Badges #
Badges are earned automatically and appear on your profile as you grow:
| Badge | How it's earned |
|---|---|
| Institution | Given to every institution account. |
| Partner | Earned once your institution is approved as an affiliate (National or Regional partner). |
| Educator | Earned after you publish your first course. |
| Achiever | Earned as you publish several courses. |
| All Stars | Earned once you have a larger catalogue of courses. |
